Jag Club Meeting: June 6, 2016
Meeting called to order at 7:00.
Attendees: Jill Tate, Travis Seese, Stephanie Riddle, Leanne Ward, Emily Smith, Karin Evanoff, Carolyn Songey, Greg Allen, Susan Hume, Drew Phillips, Joyce Fay, Terri Voltz, Marlene Schneider, Elizabeth Strohm, Meri Neciti, Nancy Snipes, Gretchen Pietchotka, Patrick Bunch
Treasurer Update:
- Reorganizing Quickbooks for greater simplicity
- Will wrap up year by 6/30
Stadium Update:
- Press boxes done, fiber optics done, painting complete
- Sleeves in in tennis courts
- Paving to be done by 6/12
- Irrigation done; will be doing landscaping and sod soon
- Ordered rest of concession equipment
Golf Tournament Update:
- Coach and teacher commitment for tournament is lower than in past years; coach commitment to the event should be part of each team’s fundraising target for next year
- Have over $5000 in in-kind donations and some great silent auction items; we have about 22 hole sponsors currently
- About 70 golfers signed up so far (can go up to 120 golfers)
- Individuals should also invite rising freshman families to attend the event
- Individuals can come to the dinner as a walk-in
- Some of next year’s new coaches will be announced at the dinner
- The question was raised as to whether we should consider having the golf tournament every other year going forward
Sponsor Update:
- Most existing sponsors will be returning; this summer we will reach out to many other potential new sponsors
- Feel we will have more sponsors because the new stadium will be done and corporations will want to be associated with it
Facilities Update:
- Stadium near completion
- Wake County will re-do baseball concession building in July
Concessions Update:
- Don’t have much inventory to move to the new concession area, which is good
- We can put drinks and candy on the concession cart for the golf tournament
- Talked about switching beverage providers; got a quote from Coca Cola (potential new provider) and then got a new and more competitive quote from Pepsi
- Pepsi will put another cooler in the current concession stand and new coolers in the concession area of the new stadium
- Coaches will communicate more effectively with parents and players about the responsibility for working concessions during each sport’s season
Athletic Director Update:
- Big goal is financial transparency and sustainability
- Gate fees go into school budget; season pass money goes into Jag Club AD account
- Stephanie and Leanne have done a great job to improve and clarify the budget going forward
- Request that as of July 1, the Jag Club remain neutral rather than sponsoring any funding requests by a coach; this will help Travis get a better handle on the money needed to run the athletic department going forward
- Lawnmower—quote is $16,700 for a refurbished mower; the school also needs a volleyball net (can’t sponsor events without it) and we got a quote for $1400; motion to purchase mower and volleyball net made by Terri Voltz; seconded by Patrick Bunch; motion voted on and passed
- Also need a new activity bus; our current activity bus is unsafe; we need to revisit this issue when we meet in July
- Assistant A.D next year will be Ryan Westbrook
President Update:
- Several positions open next year, to include President, Concessions, Ways and Means, and Communications
- Concessions can be run by 3 people (broken up by season)
- Assistant Director and coaches sit on the board also (Robbie St. John did this year; Emily Smith will be done?)
- Elizabeth Strohm will be co-Treasurer next year with Stephanie Riddle
Next Jag Club meeting will take place on July 11 at Travis Seese’s house at 6:30 p.m.
