Jag Club Meeting: Monday, March 7, 2016
NOTE: Jill Tate initiated an e-vote on February 25, 2016 for approval to allocate $900 from the Concessions Account to purchase a refrigerator for the concession stand. The vote passed and the allocation was approved on February 26, 2016. The refrigerator was then purchased on February 27, 2016 for $549.56.

Meeting began at 7:00.
Proposal for new athletic equipment: All the Varsity coaches have gotten together and come to the Jag Club for some help getting strength and agility equipment. They got 3 quotes and the quote from Dynamic Fitness & Strength is the most reasonable with a reliable company. Although the coaches feel that locker room renovations are important, they feel that athletic equipment is a higher priority if a choice needs to be made. This proposal was agreed on by everyone at the meeting tonight but not enough people from the board were present to vote. Jill said that she would follow up with an e-vote.
Stadium Update:
- Still no water; no irrigation plan was recorded last year and the lines were inadvertently broken during stadium construction; a permanent line will be completed in about a month (after the line is permitted by the county); the lack of water is currently affecting the baseball team
- Brickwork is almost done, as is electrical and roofing
- Sidewalk will be redone soon
- Stadium is targeted for completion at the end of April
- Tennis courts will be ripped out soon
- Currently have a balance of $14,160 in the Stadium Account; we have talked in the past about allocating some of that money for locker room improvements; this will be further discussed in the future, once the scope of the project is determined, plans are drawn up, and the appropriate forms are filed with the county
Budget Update:
- Invoices are not being turned in on time and at least one vendor (Johnson Lambe) will start charging late fees; invoices cannot be paid from a purchase order
- If the appropriate paperwork is submitted, the Treasurer is willing to mail a check directly
Membership Update:
- Currently offering a discount for a sports pass for spring sports
Concessions Update:
- New refrigerator purchased
- Pepsi cooler, which is not cooling the drinks, will either be fixed or replaced by Pepsi
Ways & Means Update:
- Looking for silent auction items for the golf tournament in June
- Historically, school teams sponsor a hole
- $75 to play in the tournament, which includes dinner
- Need to get out an email for committee help with decorations, silent auction, etc.
- If a company sponsors a hole, it can have 4 players compete in the tournament (who can also come to the dinner) and have signage on the hole; to have signage at the football stadium, a minimum $200 donation is required
President’s Update:
- Irrigation for softball field is part of our long-term plan
- We will be updating signs in the gym and banners for the field; we will make final decisions for these when we are ready (stadium completion, etc.)
- In the process of updating sponsorship packages; many of our sponsors don’t want sports passes and really just want exposure; Taco Mac, which is under new management, wants to be a big sponsor; Ruckus will renew its sponsorship
- Scheduled Restaurant Nights: Chick-Fil-A on March 17th and Ruckus on April 18th and 19th
- Casino Night was tabled; we had a hard time finding a venue that was affordable
- Discount card company is currently finalizing contracts with 12 local businesses; teams that want to participate will be able to sell the discount card for $20 and get to keep half the funds; if we sell the cards through the Jag Club, we get to keep half of the funds also
- Blue Crew will now be a club; student members will have input into new t-shirt designs for spirit wear; want to improve school spirit with ideas like creating a tunnel for the football players to come out of prior to a game; the hope is that this club will enable more effective communication between students and parents
- Looking at options for new spirit wear (scarf, etc.)
