<p>Meeting called to order at 7:00.</p>

<p><strong>Presidents Update:</strong></p>
<ul>
<li>Updates about team social media accounts and number of followers</li>
<li>Why student athletes are great employees</li>
<li>Most of the Board positions have been filled with the exception of Ways and Means</li>
<li>Amendments to by-laws will be adding a President pro-tem, six Vice Presidents and a Member-at-Large</li>
<li>Revenue sources are from Membership, Concessions and Sponsorships</li>
</ul>
<p><strong>Athletic Director Update:</strong></p>
<ul>
<li>The budget is ahead from last year</li>
<li>Travis provided updates on how the fall teams have finished.</li>
<li>Jag Club must buy back for $15 the broken lawnmower, spiker and golf cart in order to be able to sell and keep revenue in Jag Club account.</li>
<li>The ramp to the press box has cracks, but the tear out and redo are underway</li>
<li>Attendance for the Parent Night/Winter Sports was around 40 which is much improved from years past</li>
<li>Still need chairperson for the Golf Tournament</li>
<li>Golf Tournament date has been scheduled and the course has been reserved for June 13<sup>th</sup>.</li>
<li>The All Sports Banquet has been scheduled for May 24<sup>th</sup></li>
<li>Jennifer Chang of the Women’s Golf team is the Athlete of the month.</li>
<li>The “Beat Cary” Board has been a hit with students</li>
</ul>
<p><strong> </strong></p>
<p><strong>Treasurer Update:</strong></p>
<ul>
<li>Still working on cleaning up the spreadsheet as several items have been listed incorrectly</li>
<li>$1500 made from Powder Puff</li>
<li>Jag Junction doing well and is using Square</li>
<li>It appears 14 checks were never cashed and Stephanie is looking into those</li>
</ul>
<p><strong>Communications Update: </strong></p>
<ul>
<li>Information will be forthcoming about a restaurant night at Chipotle in Crossroads</li>
</ul>
<p><strong>Concessions Update:</strong></p>
<ul>
<li>Chairperson in place for Winter Sports concessions, but someone is still needed to run Spring Sports</li>
</ul>
<p><strong>Sponsorships Update:</strong></p>
<ul>
<li>Travis has received a check from Publix and Circle K is sponsoring Athens through their “Fuel for School” program</li>
</ul>
<p><strong>Facilities Update:</strong></p>
<ul>
<li>Need to replace the chain for the cutter</li>
<li>The spring clean-up will be set for some time right after the spring sports tryouts</li>
<li>Trophy case has been reorganized and updated</li>
</ul>
<p><strong>Membership Update: </strong></p>
<ul>
<li>Two or three memberships added this week</li>
<li>The goal is to exceed $17,530</li>
<li>Discussion about whether to mark down passes for spring sports</li>
</ul>
<p><strong> </strong></p>
<p><strong>Old Business: </strong></p>
<ul>
<li>City BBQ provided $162 in revenue</li>
<li>Three mattresses were sold for Jag Club which will provide approximately $200 in revenue</li>
</ul>
<p><strong>New Business: </strong></p>

<li>Restaurant night being planned</li>
<li>Considering how to sell “Paws” painted at the stadium next year at Homecoming</li>
<li>Plans for providing a Scholarship Fund for $500 that would be presented during the Sports Banquet in May</li>
<li>Motion to approve Sabah Malik as Member-At-Large by Patrick Bunch; second, Jill Tate; motion approved</li>
<li>Motion to approve buying back golf cart, spiker and lawnmower for $15 by Travis Seese; second Jill Tate; motion approved</li>

<p><strong>TEAM COACHES:  </strong>Coaches for all four teams will be selected from Athens Varsity and JV football players.</p>

<p>The objective of the Jag Club is to provide volunteer support and financial aid to the athletic programs of Athens Drive Magnet High School.  Yes, that is an appeal for both your time and your money to support the student athlete and the blue crew experiences across all sports.</p>
<p>To provide <strong>volunteer</strong> support, please consider a role as a Team Parent, working a few hours in the concession stand, working in Jag Junction during the student lunch period, considering a role on the Jag Club, and more.</p>

<p><strong>Treasurer Update:</strong></p>
<ul>
<li>Reorganizing Quickbooks for greater simplicity</li>
<li>Will wrap up year by 6/30</li>
</ul>
<p><strong>Stadium Update:</strong></p>
<ul>
<li>Press boxes done, fiber optics done, painting complete</li>
<li>Sleeves in in tennis courts</li>
<li>Paving to be done by 6/12</li>
<li>Irrigation done; will be doing landscaping and sod soon</li>
<li>Ordered rest of concession equipment</li>
</ul>
<p><strong>Golf Tournament Update:</strong></p>
<ul>
<li>Coach and teacher commitment for tournament is lower than in past years; coach commitment to the event should be part of each team’s fundraising target for next year</li>
<li>Have over $5000 in in-kind donations and some great silent auction items; we have about 22 hole sponsors currently</li>
<li>About 70 golfers signed up so far (can go up to 120 golfers)</li>
<li>Individuals should also invite rising freshman families to attend the event</li>
<li>Individuals can come to the dinner as a walk-in</li>
<li>Some of next year’s new coaches will be announced at the dinner</li>
<li>The question was raised as to whether we should consider having the golf tournament every other year going forward</li>
</ul>
<p><strong>Sponsor Update:</strong></p>
<ul>
<li>Most existing sponsors will be returning; this summer we will reach out to many other potential new sponsors</li>
<li>Feel we will have more sponsors because the new stadium will be done and corporations will want to be associated with it</li>
</ul>
<p><strong>Facilities Update:</strong></p>
<ul>
<li>Stadium near completion</li>
<li>Wake County will re-do baseball concession building in July</li>
</ul>
<p><strong>Concessions Update:  </strong></p>
<ul>
<li>Don’t have much inventory to move to the new concession area, which is good</li>
<li>We can put drinks and candy on the concession cart for the golf tournament</li>
<li>Talked about switching beverage providers; got a quote from Coca Cola (potential new provider) and then got a new and more competitive quote from Pepsi</li>
<li>Pepsi will put another cooler in the current concession stand and new coolers in the concession area of the new stadium</li>
<li>Coaches will communicate more effectively with parents and players about the responsibility for working concessions during each sport’s season</li>
</ul>
<p><strong>Athletic Director Update:  </strong></p>
<ul>
<li>Big goal is financial transparency and sustainability</li>
<li>Gate fees go into school budget; season pass money goes into Jag Club AD account</li>
<li>Stephanie and Leanne have done a great job to improve and clarify the budget going forward</li>
<li>Request that as of July 1, the Jag Club remain neutral rather than sponsoring any funding requests by a coach; this will help Travis get a better handle on the money needed to run the athletic department going forward</li>
<li>Lawnmower—quote is $16,700 for a refurbished mower; the school also needs a volleyball net (can’t sponsor events without it) and we got a quote for $1400; motion to purchase mower and volleyball net made by Terri Voltz; seconded by Patrick Bunch; motion voted on and passed</li>
<li>Also need a new activity bus; our current activity bus is unsafe; we need to revisit this issue when we meet in July</li>
<li>Assistant A.D next year will be Ryan Westbrook</li>
</ul>
<p><strong>President Update:</strong></p>
<ul>
<li>Several positions open next year, to include President, Concessions, Ways and Means, and Communications</li>
<li>Concessions can be run by 3 people (broken up by season)</li>
<li>Assistant Director and coaches sit on the board also (Robbie St. John did this year; Emily Smith will be done?)</li>
<li>Elizabeth Strohm will be co-Treasurer next year with Stephanie Riddle</li>
</ul>
<p>Next Jag Club meeting will take place on July 11 at Travis Seese’s house at 6:30 p.m.</p>

<p>Attendees:  Jill Tate, Travis Seese, Stephanie Riddle, Emily Smith, Karin Evanoff, Susan Hume, Darren Stuart, Joyce Fay, Carolyn Songey, Becky Ruth, Kim Keyes, Jodi Snyder, Terri Voltz, Lisa Patterson, Marlene Schneider, Robbie St. John, Julie Hinshaw</p>
<p><strong>Update from Travis Seese:  </strong></p>
<ul>
<li>We will offer about six different Jag sports’ camps (rising 7<sup>th</sup> to rising 11<sup>th </sup>graders) this summer; these camps will be offered different weeks and will cost approximately $100; some of the money will pay the coaches and pay for insurance; the remainder of the revenue from a sport’s camp will be a fundraiser for the team that hosts the camp</li>
<li>This fall we will have an “Orange and Blue Day”; the sporting events will be free; we will use this opportunity to engage parents, sign people up for sports passes, recruit members to the Jag Club, etc.; we might be able to get the band involved in this as well; there will be a pig roast that day</li>
<li>We plan to start a Rivalry Cup</li>
<li>Student Booster Club is now in its planning phase and will kick off in the fall; a primary goal of the club will be to find better ways to engage the student body</li>
</ul>
<p><strong>Treasurer Update:  </strong></p>
<ul>
<li>Sent out statements to all the coaches so they would know what funds are in their accounts</li>
<li>Fundraising income for this school year is higher than our expenses</li>
<li>Need to clean up Quickbooks for next year</li>
</ul>
<p><strong>Ways and Means Update:  </strong></p>
<ul>
<li>Restaurant Nights—Ruckus on 4/18 and 19; Chipotle on Kildaire Farm Rd. wants to sponsor a Restaurant Night</li>
<li>Golf tournament update—scheduled for 6/14; need people to help on committees both prior to the event and on the day of the event; Peggy Cheek is working with Lochmere Golf Club to see if we can have a beer cart on the day of the tournament</li>
</ul>
<p><strong>Corporate Liaison Update:</strong></p>
<ul>
<li>Mac wants to be a sponsor</li>
<li>We are talking to potential new sponsors for the new scoreboard, etc.</li>
</ul>
<p><strong>Membership Update:</strong></p>
<ul>
<li>Lowered the price for sports passes for the spring; recently sold two family and two individual passes (about $400 in revenue)</li>
</ul>
<p><strong>Concessions Update:</strong></p>
<ul>
<li>Recommend that 4 people run concessions next year—two people for the fall, one for winter, and one for spring; the time commitment is substantial (about 20 hours/week)</li>
</ul>
<p><strong>Stadium Update:</strong></p>
<ul>
<li>Work in process: concrete work (sidewalks, etc.); storage unit; drywall</li>
<li>Work completed: electrical; roof; HVAC system</li>
<li>Hedrick asked about the option of privacy fencing, but this is not an option for us because the field sits too low</li>
<li>Wifi in the press box and concession stand will be the same as in the classrooms</li>
<li>Punch list item for the new track is the blisters that are becoming apparent; we have been told that the blisters are normal and the coaches will be shown how to repair the track where blisters are forming</li>
<li>We are now waiting for the City of Raleigh to install meters so that we can get water to the baseball field</li>
<li>Stadium scheduled for mid-May completion</li>
</ul>
<p><strong>Old Business:</strong></p>
<ul>
<li>Strength and conditioning equipment was ordered before spring break and should be delivered soon</li>
<li>Casino night was cancelled; although this was felt to be a good idea, the venues were very expensive and would have made it difficult to break even; perhaps should consider a food truck rodeo for next year instead?</li>
<li>Discussed various options to celebrate the opening of the new stadium; the hope was expressed that any revenue made at a celebration would go to ADHS and/or the Jag Club as opposed to having an event where we would have to share the gate with another school</li>
</ul>
<p><strong>New Business:</strong></p>
<ul>
<li>We have a number of Board positions opening; we also need to recruit new volunteers for concessions, team parents, etc.</li>
<li>Spring Signing Day is Wednesday, April 13; if we have people signing, we will be happy to recognize them</li>
</ul>

<p><strong>NOTE:</strong>  Jill Tate initiated an e-vote on February 25, 2016 for approval to allocate $900 from the Concessions Account to purchase a refrigerator for the concession stand.  The vote passed and the allocation was approved on February 26, 2016.  The refrigerator was then purchased on February 27, 2016 for $549.56.</p>
<p><strong>Attendees:</strong>  Jill Tate, Emily Smith, Jeremy Fullbright, Jeff Liles, Darren Stuart, Karin Evanoff, Robbie St. John, Becky Ruth, Clay Herget, Misty Herget, Jami Summers, Carolyn Songey, Joyce Fay, Tom Wetherby, Marlene Schneider</p>
<p>Meeting began at 7:00.</p>
<p><strong>Proposal for new athletic</strong> <strong>equipment:</strong>  All the Varsity coaches have gotten together and come to the Jag Club for some help getting strength and agility equipment.  They got 3 quotes and the quote from Dynamic Fitness &amp; Strength is the most reasonable with a reliable company.  Although the coaches feel that locker room renovations are important, they feel that athletic equipment is a higher priority if a choice needs to be made.  This proposal was agreed on by everyone at the meeting tonight but not enough people from the board were present to vote.  Jill said that she would follow up with an e-vote.</p>
<p><strong>Stadium Update:</strong></p>
<ul>
<li>Still no water; no irrigation plan was recorded last year and the lines were inadvertently broken during stadium construction; a permanent line will be completed in about a month (after the line is permitted by the county); the lack of water is currently affecting the baseball team</li>
<li>Brickwork is almost done, as is electrical and roofing</li>
<li>Sidewalk will be redone soon</li>
<li>Stadium is targeted for completion at the end of April</li>
<li>Tennis courts will be ripped out soon</li>
<li>Currently have a balance of $14,160 in the Stadium Account; we have talked in the past about allocating some of that money for locker room improvements; this will be further discussed in the future, once the scope of the project is determined, plans are drawn up, and the appropriate forms are filed with the county</li>
</ul>
<p><strong>Budget Update:  </strong></p>
<ul>
<li>Invoices are not being turned in on time and at least one vendor (Johnson Lambe) will start charging late fees; invoices cannot be paid from a purchase order</li>
<li>If the appropriate paperwork is submitted, the Treasurer is willing to mail a check directly</li>
</ul>
<p><strong>Membership Update:  </strong></p>
<ul>
<li>Currently offering a discount for a sports pass for spring sports</li>
</ul>
<p><strong>Concessions Update:  </strong></p>
<ul>
<li>New refrigerator purchased</li>
<li>Pepsi cooler, which is not cooling the drinks, will either be fixed or replaced by Pepsi</li>
</ul>
<p><strong>Ways &amp; Means Update:</strong></p>
<ul>
<li>Looking for silent auction items for the golf tournament in June</li>
<li>Historically, school teams sponsor a hole</li>
<li>$75 to play in the tournament, which includes dinner</li>
<li>Need to get out an email for committee help with decorations, silent auction, etc.</li>
<li>If a company sponsors a hole, it can have 4 players compete in the tournament (who can also come to the dinner) and have signage on the hole; to have signage at the football stadium, a minimum $200 donation is required</li>
</ul>
<p><strong>President’s Update:</strong></p>
<ul>
<li>Irrigation for softball field is part of our long-term plan</li>
<li>We will be updating signs in the gym and banners for the field; we will make final decisions for these when we are ready (stadium completion, etc.)</li>
<li>In the process of updating sponsorship packages; many of our sponsors don’t want sports passes and really just want exposure; Taco Mac, which is under new management, wants to be a big sponsor; Ruckus will renew its sponsorship</li>
<li>Scheduled Restaurant Nights: Chick-Fil-A on March 17<sup>th</sup> and Ruckus on April 18<sup>th</sup> and 19<sup>th</sup></li>
<li>Casino Night was tabled; we had a hard time finding a venue that was affordable</li>
<li>Discount card company is currently finalizing contracts with 12 local businesses; teams that want to participate will be able to sell the discount card for $20 and get to keep half the funds; if we sell the cards through the Jag Club, we get to keep half of the funds also</li>
<li>Blue Crew will now be a club; student members will have input into new t-shirt designs for spirit wear; want to improve school spirit with ideas like creating a tunnel for the football players to come out of prior to a game; the hope is that this club will enable more effective communication between students and parents</li>
<li>Looking at options for new spirit wear (scarf, etc.)</li>
</ul>

<h3><strong>Average Joe Promo (potential fundraiser):</strong></h3>
<ul>
<li>$20 per card sold; half of the proceeds go to Average Joe and the other half goes to the team selling the cards; Average Joe collects its half of the proceeds at the end of the selling season</li>
<li>There is no risk to the team selling the cards (no upfront cost); team sets a goal for number of cards sold and the team is responsible for selling half that number</li>
<li>The cards have a number of local restaurants on them and each restaurant has a promotion (ex., 15% off total sale, etc.); the card is good for a year</li>
</ul>
<h3>Stadium Update:</h3>
<ul>
<li>New baseball scoreboard going up</li>
<li>Softball shed completed and permitted; ADHS has 60 days to caulk and paint it prior to Wake County signing off</li>
<li>Grandstands are almost complete</li>
<li>Need to get water to bathrooms and concession area</li>
</ul>
<h3>Ways and Means:</h3>
<p>Spring golf event:</p>
<ul>
<li>Tentatively scheduled for April 25, which is a teacher workday</li>
<li>Lochmere Golf Club is booked</li>
<li>Ruckus has not gotten back to us yet about food</li>
<li>Committees needed for setup, silent auction, golf teams, etc.</li>
<li>Marlene mentioned that there could be a conflict with the 4/25 date, as the boys’ golf team might have a tournament that day; might need to reconsider a date in June after school gets out for the year</li>

<h3>Athletic Director:</h3>

<li>Getting ready to kick off spring sports (practice starts on 2/15)</li>
<li>A number of the teams have to practice at Centennial; because of this, we have agreed to maintain Centennial’s practice fields</li>
<li>Spring sports might need to use the restrooms in the school building if the water is not turned on yet (or rent a port-a-john)</li>
<li>Need a JV women’s softball coach; if anyone knows of any parents, etc. who would consider coaching, let Mr. Thompson know</li>
<li>Need to purchase a clock for the lower gym</li>
<li>Would like to restructure locker rooms at minimum cost</li>
<li>Need a reel mower versus a rotary mower to mow Bermuda grass; reel mowers cost $16 &#8211; $17K</li>
<li>Cost for a bus&#8211;$30K+ for one that is refurbished</li>
<li>Cheerleading competition went well; competition grossed about $21K, but that needs to be split with Broughton and Enloe; after expenses, we probably netted $4K or more; during the competition, the fire alarm went off in the school, which caused problems; Key Club students worked concessions and did a great job</li>
</ul>
<p><strong>President’s Update:</strong></p>
<ul>
<li>Swim team did well in a conference meet—Athens finished 3<sup>rd</sup> (men) and 5<sup>th</sup> (women); Coach Barry won SWAC Men’s Coach of the Year</li>
<li>Countertop in sports med room is cracked and needs to be fixed</li>
<li>Spring Signing Day is Wednesday, February 3; some individuals will be signing for volleyball and soccer</li>
<li>Freshman Curriculum Night is Wednesday, February 3; Jag Club will have a table in front of the auditorium; we need to encourage incoming parents to get involved with the Jag Club</li>
<li>Blue Crew is now the student booster club (OK’d by Mr. Katz); Mr. Seese will be heading it up; intent is to improve school spirit via the whole student body; club will have input on spirit wear design, etc.</li>
</ul>
<p><strong>Proposed Casino Night:</strong></p>
<ul>
<li>Adult only evening for staff, admin and parents (including alumni)</li>
<li>To be held offsite (potentially at Homewood Suites near MacGregor) and thus we will be able to serve alcohol</li>

<p><strong>Membership: </strong> Julie Hinshaw has about $800 to deposit for new memberships</p>

<li>The new entry to the senior lot is finished and opened.</li>
<li>The new stadium parking lot has curbs and gutters with the gravel and paving to begin within the week.</li>
<li>The foundations to the press box and new storage facility have been completed.</li>
<li>Installation of the home side bleachers will start this week.</li>
<li>The new baseball and stadium scoreboards are currently being installed.</li>
<li>The engraved brick pavers are complete (beautiful!) and ready for installation.</li>

<p><strong>President’s Update:</strong></p>
<ul>
<li>There has been a fair amount of drug activity lately. Some students have been arrested; other students have had drug reactions on campus.  Parents are concerned and feel that this issue needs to be addressed by Administration.  A lot of people feel it&#8217;s time to ask some questions and get some answers.  Should we see if Hedrick, the administration, the security officers, and/or Raleigh PD will do an informational meeting?</li>
<li>We had a sports psychologist who spoke at the school in the past. Should we bring him back?</li>
<li>Is there a role for athletes in standing up for being drug free?</li>
<li>I met with the members of the PTSA and the other boosters last week.  We are all struggling to get parent and student participation.  We are all trying to find a solution and think that supporting each other will help. I have invited the other booster and PTSA members to the tailgate on 11/6 (before the football game) and the holiday party.</li>
<li>Tailgate before the last home game on 11/6 from 4:30 to 6:00. We will be working with Student Council, and the other boosters will be there, too. We are trying to get the pep band/drum line, cheerleaders, dance team, chorus, etc. there. Moe&#8217;s will donate food for us to sell.  We are hoping to get a sound system out there too.</li>
<li>Student Booster Club: Coach Seese will be the faculty advisor.  We are talking about turning the Blue Crew group into the Student Booster Club.</li>
<li>The December meeting is a holiday party. We will do a raffle to include Lou Holtz’ book called <u>A Teen’s</u> <u>Guide to Life</u>.</li>
</ul>
